Everything you need to know about ePUAP in Poland

The organs of Polish authority are increasingly cooperating with citizens through the internet. In the Republic, a special Ministry of Digitization has even been established, with the aim of transferring the interaction between state institutions and citizens to a digital circulation of documents.

The digitalization of services often requires businessmen to have a verified ePUAP profile.

What is ePUAP:

The National Polish online resource designed for communication and interaction between Polish citizens and state authorities.
After registering and verifying their profile, citizens can communicate with state authorities, submit applications for public services and formalize documents within their personal account.
Business owners who have received ePUAP confirmation can register their business without leaving home. The profile allows business owners to verify and submit financial reports within one portal.

Having an ePUAP profile also allows for:

Submitting an application to ZUS to check information regarding insurance and payments from social insurance authorities. An employer is obligated to insure their employee and make monthly payments.
Receiving a registration. Simply send a lease agreement in digital format. The agreement must be signed by the lessor.
Submitting an application for a work permit. This procedure is necessary if a company employs foreigners who are not residents of the EU. In order for a foreigner to legally work in Poland, it is necessary to obtain a permit. The permit can be obtained using a trusted ePUAP profile.

Today, ePUAP is the only way to register documents for legal work of foreign citizens. You can register on the platform praca.gov.pl.

Requirements for obtaining an ePUAP profile

To register for an ePUAP electronic profile, you must temporarily or permanently reside in Poland and have a personal PESEL number. To receive an identification code, you must have a registration.

The ePUAP system does not register:

Citizens of other countries.
People living outside of Poland.
Ways to obtain an ePUAP profile
Through a certified intermediary – online banking.

On the website pz.gov.pl/dt/register, you can find a list of banks that allow registration of an ePUAP profile.

The bank or financial institution automatically confirms the personal data and PESEL number of the applicant to the ePUAP system. This method is used by not only Polish citizens, but also foreigners. An important condition is having a PESEL number.

If the bank system is missing the identification number, the trusted profile system will display an error and block the applicant.

Important! If an ePUAP electronic profile is generated by a bank, you will need to continually confirm your login to the system. To use the profile, you will need to wait for an SMS code to the mobile phone number provided during registration at the bank.

Direct registration in the trusted profile system and ePUAP verification on site.

If you do not want to register the profile through a bank or your financial institution does not provide such a service, you will need to register your account in the ePUAP system and confirm your identity at an ePUAP branch.

Actions to be taken:

Go to the ePUAP website and register. This is a free procedure.
After filling out the registration form and creating an account, visit an ePUAP branch nearby. Here you can confirm your identity.

Important! After submitting the application (from the moment of submitting the application), you have two weeks to confirm your identity. After this period, if you do not manage to verify your identity, the application will be cancelled. You will need to submit the application again.

At the ePUAP branch, you must provide documents confirming your identity:

Personal passport or Residence Card confirming a permit for temporary or permanent residence.
Identity card – identity card for Polish citizens.
European Union resident card.

You can find ePUAP branches on an online map or contact the ePUAP helpline.

Note that the trusted profile is valid for three years. You can extend the validity of the profile for another three years.

The profile registration service is free.

After confirming your identity, you can immediately start using the ePUAP service.
